Coaching institute software

Enquiries, admissions, batches, fees and follow-ups in one pipeline.

KaizenSpark Tech builds coaching and training institute systems — enquiry capture, admission pipeline, batch and schedule management, fee instalments, attendance and student performance — so that an enquiry is followed up by a named person on a date instead of going cold in a register.

What this page is. Described from the problems operators in this sector actually bring us, and from systems we have built for them. Clients are withheld under confidentiality, so what follows covers the problem, the solution and the capability rather than the customer. More of our work is on our solutions.

Who it is for

Does this sound like your operation?

A coaching centre, training institute or test-prep business where enquiries arrive faster than anyone can follow them up, and fee instalments are tracked on a sheet.

What it looks like

Kaizen Coaching, the product behind this.

The same system, shown as it would be configured for this sector. An illustration, not a screenshot.

Interface illustration, drawn with this site’s own design tokens. Sample figures, not a running system.

The problem

What usually brings someone to us.

01

Enquiries go cold

They are written down, then followed up when somebody remembers, which is not a process.

02

No one can say what the conversion rate is

Enquiries, admissions and sources are not connected, so marketing spend is unmeasured.

03

Fee instalments are chased by memory

The list of who owes what this week is assembled by hand, late.

04

Batch allocation is a puzzle each term

Timings, faculty and room availability are reconciled manually.

05

Attendance is recorded but never used

It is captured on paper and never reaches the person who should act on a pattern of absence.

06

Performance tracking stops at the test

Marks are recorded but trends per student and per batch are not visible.

What we build

What the system would cover.

01

Enquiry pipeline

Source, stage, owner and next action date, so follow-up is assigned rather than hoped for.

02

Admission to batch

Admission creates the student, the batch allocation and the fee schedule in one step.

03

Fees and instalments

Schedules, part payments, reminders and a dues list that is always current.

04

Batches and timetable

Faculty, timing and room, with clashes visible before they are published.

05

Attendance

Captured once, and surfaced to whoever should act on it.

06

Performance

Test scores by student and batch, with the trend rather than one number.

Integrations

What it would connect to.

WhatsApp Business API or SMS for reminders and attendance notices, payment gateways for online fee collection, and your existing accounting software. Which apply depends on how you already collect and communicate.

How a build runs

The same five stages, whatever the sector.

01

Trace

We follow the work as it runs today and write it down — where the hours go, where data is re-keyed, where errors enter.

02

Scope

Deliverables, integration points, phases and an explicit out-of-scope list, agreed in writing before any code exists.

03

Build

Working software in reviewable increments, with a running environment you can open at any point during the build.

04

Measure

Type checks, automated tests and a manual pass on the paths that matter.

05

Improve

Architecture notes and runbooks ship with the build, then we keep reading the numbers with you.

06

What comes as standard

Written scope, documented handover, and IP transferred to you on final payment. Not extras.

Questions

What people ask before commissioning this.

Can it chase fee instalments automatically?
It can generate the list and draft the reminders. Whether they send automatically is your decision — most institutes want a person to look at the list first, and we would agree with that.
Can we see which marketing source produces admissions, not just enquiries?
Yes, provided the source is captured at the enquiry. That is the single most common reporting gap we are asked to fix in this sector.
Can faculty mark attendance on a phone?
Yes. If attendance requires walking to a desk it will keep being captured on paper.
Do you build the student app as well?
Sometimes, but we would question it first. A read-only student or parent view inside the web application usually answers the same need at a fraction of the cost.
